This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit our website, register for an account, or use Tandem for your restaurant's back-office financial reporting and accounting.

We collect information directly from you, automatically through your interactions with Tandem, and from third-party integrations authorized by you.

A. Information You Provide to Us

• Account Information: Name, job title, restaurant name, business email address, phone number, physical address, and password when creating a Tandem account.
• Restaurant Financial Data: Invoices, receipts, vendor accounts, banking details, point-of-sale (POS) reports, general ledger files, and financial statements uploaded to or synchronized with Tandem.
• Communications: Information provided when contacting support, scheduling a demo, or participating in surveys.

B. Information Collected Automatically

• Log and Device Data: IP address, browser type, operating system, system configuration, URL referrer, device identifiers, and timestamp data when you log into or navigate Tandem.
• Usage Data: Pages viewed, features utilized, report configurations, clickstream data, and performance logs within the application.
• Cookies and Tracking Technologies: Session cookies and local storage to maintain user authentication and security preferences. (We do not sell advertising tracking data to third-party ad networks).

C. Integrations Provided by You

When you connect Tandem with third-party software (e.g., your Point of Sale software, bank accounts, or external general ledger systems), we collect information from those services as authorized by your permissions.

We use the collected information for the following operational and core service purposes:

• To Provide Tandem: Operating, processing, and maintaining the financial reporting algorithms, categorization models, and back-office accounting tools requested by your business.
• To Train and Improve Our AI: Training and refining our artificial intelligence and optical character recognition (OCR) models to accurately parse invoices and financial data. (Note: Data used for model development is sanitized and de-identified wherever possible).
• Customer Support & Service: Diagnosing technical issues, resolving tickets, and responding to inquiries.
• Account Security: Detecting, preventing, and addressing fraud, security threats, unauthorized access, or abusive behavior.
• Administrative Communications: Sending essential system updates, invoices, security alerts, and service announcements.

AI Labz does not sell, rent, or trade your restaurant's business information or personal data to third parties. We share information only under the following limited circumstances:

• Subprocessors and Service Providers: We engage trusted vendors to assist with hosting, cloud infrastructure, data backup, security, and customer communications (e.g., cloud hosting infrastructure like AWS/GCP). These vendors are subject to strict contractual confidentiality and data security obligations.
• Third-Party Software Integrations: If you explicitly choose to connect Tandem to an external POS, accounting, or banking system, we transfer data to and from that system per your instructions.
• Legal Compliance & Safety: We may disclose information if required by law, subpoena, or government inquiry, or to protect the rights, property, and safety of AI Labz, our customers, or the public.
• Business Transfers: In the event of a merger, acquisition, reorganization, or sale of company assets, Customer Data and personal information may be transferred as part of the transaction under standard non-disclosure protections.

AI Labz employs industry-standard physical, technical, and administrative safeguards designed to secure your financial and personal data. These measures include:

• Encryption: Data is encrypted both in transit (using HTTPS/TLS) and at rest (using AES-256 encryption).
• Access Controls: Strict role-based access controls limiting internal AI Labz employee access to production databases.
• Continuous Monitoring: System logging and network monitoring to prevent unauthorized access.

While we take rigorous measures to protect your information, no transmission over the internet is 100% secure. We encourage you to use strong passwords and restrict access to your user credentials.

We retain Customer Data and personal information for as long as your account remains active or as needed to provide the Tandem Services. If you terminate your account, we will delete or anonymize your data within 60 days, unless a longer retention period is required by applicable accounting, tax, or legal obligations.

Depending on your jurisdiction, you may have the following rights regarding your personal data:

• Access & Export: Request a copy of the personal data we hold about you or export your financial records from Tandem.
• Correction: Request that we correct inaccurate or incomplete information.
• Deletion: Request that we delete personal data associated with your user profile (subject to our legal retention requirements).
• Opt-Out: Unsubscribe from non-essential marketing communications by following the unsubscribe link in our emails. (Transactional and administrative notifications cannot be opted out of).

Tandem is an enterprise B2B service intended exclusively for business use. We do not knowingly collect personal information from children under the age of 18.
